Refund & Cancellation Policy

1. Overview
This Refund & Cancellation Policy explains how refunds are handled for different types of purchases on Matlinks. Because Matlinks is a marketplace connecting you with independent coaches and gyms, refund policies may vary depending on the product or service.
Important: All payments are processed through Stripe. Refunds are returned to the original payment method and may take 5-10 business days to appear on your statement.
2. Courses & Instructionals
2.1 Course Purchases (Lifetime Access)
Exceptions:
• Course is significantly different from description
• Technical issues prevent access for 7+ days
• Duplicate purchase made in error (within 24 hours)
2.2 Course Rentals (Time-Limited Access)
Course rentals provide temporary access for the specified period. Rental purchases are final — no refunds for:
- Not finishing the course within the rental period
- Deciding you don't like the content
- Forgetting about your rental
Exception: If technical issues prevent access for more than 50% of your rental period, contact support for a prorated extension or refund.
3. Community Subscriptions
3.1 Monthly Subscriptions
- Cancellation: Cancel anytime through your account settings
- Access: Continues until the end of your current billing period
- Refunds: No refunds for partial months
- Reactivation: You may resubscribe at any time
3.2 Annual Subscriptions
- Cancellation: Cancel anytime; access continues until year ends
- Refunds: Prorated refund available within first 30 days only
- After 30 days: No refunds; access continues until end of annual period
3.3 Tier Changes
When upgrading or downgrading subscription tiers:
- Upgrades: Prorated charge applied immediately; new tier access starts immediately
- Downgrades: Takes effect at next billing cycle; no refund for current period
4. Private Lessons
4.1 Individual Lessons
• 48+ hours before: Full refund
• 24-48 hours before: 50% refund
• Less than 24 hours: No refund
Individual coaches may have different policies — check the lesson details before booking.
4.2 Lesson Packs
Prepaid lesson packs (multi-lesson bundles):
- Unused lessons: Typically non-refundable but may be rescheduled
- Expiration: Packs expire per coach policy (usually 6-12 months)
- Partial use: No refunds for unused portions after pack purchase
Contact the coach directly for exceptions or special circumstances.
4.3 Coach No-Shows
If a coach fails to show up for a scheduled lesson:
- You are entitled to a full refund OR rescheduling
- Report within 24 hours via support@matlinks.io
- Repeated no-shows are reported to Matlinks for review
5. Video Feedback
5.1 Standard Video Feedback
- Before coach reviews: Full refund available
- After coach starts review: No refund
- Quality issues: Contact support if feedback doesn't meet described service
5.2 Feedback Packs
Prepaid feedback packs follow the same policy as lesson packs: unused credits are generally non-refundable but may be transferable (coach dependent).
6. Seminars & Events
6.1 In-Person Seminars
• 14+ days before event: Full refund
• 7-14 days before event: 50% refund
• Less than 7 days: No refund
Event organizers may have stricter policies — check event details.
6.2 Event Cancellation by Organizer
If the organizer cancels the event:
- Full cancellation: Full refund within 5-10 business days
- Rescheduled event: Ticket transfers to new date; refund available if you cannot attend
- Partial cancellation: Refund for cancelled portions
6.3 No-Shows
If you do not attend an event you purchased tickets for, no refund is provided. Tickets are generally non-transferable unless the organizer specifies otherwise.
7. Gym Memberships & Passes
7.1 Gym Memberships
Gym membership refunds are governed by the individual gym's policies. Generally:
- Monthly memberships: Cancel anytime; no refund for current month
- Annual memberships: Subject to gym's cancellation terms
- Cooling-off period: Some jurisdictions require a cancellation window — check local laws

7.2 Day Passes & Pass Packs
- Unused day passes: Non-refundable but typically don't expire
- Pass packs: Non-refundable; unused visits remain available until expiration
- Gym closure: Prorated refund if gym permanently closes
8. Merchandise & Physical Products
8.1 Returns
Physical merchandise (apparel, gear, etc.) is handled by individual sellers:
- Return window: Typically 14-30 days (seller dependent)
- Condition: Items must be unused, unworn, with tags attached
- Return shipping: Usually buyer's responsibility unless item is defective
8.2 Defective Items
If you receive a defective or damaged item:
- Contact the seller within 7 days of receipt
- Provide photos of the defect
- Seller must offer replacement or refund
9. How to Request a Refund
9.1 Through Your Account
For most purchases, you can request a refund directly through your Matlinks account:
- Go to your purchase history
- Select the relevant order
- Click "Request Refund" if available
- Provide a reason for the refund request
9.2 Contact Support
If the self-service option isn't available, contact us:
Subject: Refund Request - [Order ID]
Include:
• Your account email
• Order/transaction ID
• Product or service purchased
• Reason for refund request
• Any supporting documentation
9.3 Response Time
We aim to respond to refund requests within 2-3 business days. Approved refunds are processed within 5-10 business days and will appear on your original payment method.
10. Disputes and Chargebacks
10.1 Contact Us First
Before filing a chargeback with your bank or credit card company, please contact us first. We can often resolve issues faster than the dispute process, which can take weeks.
10.2 Chargebacks
If you file a chargeback:
- We will respond with transaction documentation
- Your account may be suspended pending resolution
- Fraudulent chargebacks may result in account termination
11. Special Circumstances
11.1 Medical Emergencies
If you cannot attend an in-person service due to a medical emergency, contact us with documentation. We will work with the service provider to find a fair resolution (refund, credit, or rescheduling).
11.2 Natural Disasters / Force Majeure
Events cancelled due to natural disasters, government orders, or other force majeure events will be handled on a case-by-case basis. We will facilitate communication between buyers and sellers to reach fair resolutions.
11.3 Platform Issues
If Matlinks experiences technical issues that prevent you from accessing purchased content or services, we will:
- Extend access periods as appropriate
- Provide refunds if issues cannot be resolved
- Communicate transparently about the situation
12. Consumer Rights
This policy does not affect your statutory consumer rights. Depending on your jurisdiction, you may have additional rights under consumer protection laws, including:
- Ontario (Canada): Consumer Protection Act cooling-off periods
- European Union: 14-day withdrawal right for online purchases
- United States: State-specific consumer protection laws
Where this policy conflicts with mandatory consumer protection laws, the law prevails.
